Depending on the individual Portal Member Permissions, owners, cleaners, maintenance staff, etc., can view availability calendars and perform actions like blocking off time or viewing owner statements. Each Portal User gets a separate login, and you can configure access to one or more properties or owners. But what is the experience of the Team Access Portal user?
Portal User
Let's look at Lynn Jones, a cleaner for Fancy Rentals. Her Team Access Portal permissions include all Fancy Rentals properties that she cleans, and she can view the Calendar and Blocked-off time, but no Financials, as she has no use for that information. She is not an owner, so the Owner options aren't available.
This is Lynn Jones's portal experience. She is a cleaner for Fancy Rentals and can see all three properties on the calendar. When hovered over, individual information for each booking, including the booking dates, number of nights, and guest party numbers—in this case, 2 adults, 2 children, and 1 pet—is available.
When Lynn clicks on an individual booking, individual information for each booking, including the booking dates, number of nights, and guest party numbers—in this case, 2 adults, 2 children, and 1 pet—is available, along with an upcoming booking. If Lynn wants information on that upcoming booking, she'll have to go back to the calendar to open it. But for now, this view shows that Sunday, March 9th has a quick changeover between two different bookings.
Lynn Jones, the Fancy Rentals cleaner, can also make changes to her Profile, Preferences, and Change her Password from her Account menu.
Owner
Mary from Mary Jones Investments, Inc., owns Beach Barn. Her Team Access Portal permissions include only her property, Beach Barn. She can view the Calendar and the Source/Listing Site (e.g., Airbnb, Direct, Vrbo, etc.) and add, move, or cancel Blocked-off time. She can view tags and notes but not individual booking Financials. Since Mary is an owner, we have granted access to view both Statements and the Dashboard.
This is Mary's Owner Portal experience. She owns Beach Barn and has access only to her property on the portal. When logged in, Mary sees the Owner Portal Dashboard, which contains a visual representation of the monthly booking overview. In this example, Beach Barn only has bookings for March 2025.
When the Calendar is selected from the left navigation menu, the booking calendar is displayed. When each booking is hovered over, individual information for that booking, including the booking dates, number of nights, and guest party numbers—in this case, 2 adults, 2 children, and 1 pet—is available.
If Owner Statements are generated in OwnerRez, Mary can access them by clicking on Statements in the left navigation menu.
Mary, the owner of Beach Barn, will be able to view Owner Statements by clicking on them.
Mary, the owner of Beach Barn, can also make changes to her Profile, Preferences, and Change her Password from her Account menu.
