Effective communication is vital in the vacation rental business, ensuring seamless guest experiences, resolving issues promptly, and building trust with customers for repeat bookings and positive reviews.
Users can locate their own Communication History by clicking on the Tools menu and selecting Communication History.
On the Communication History page, users will see tabs for the following.
Users can use the Filter button to limit results in each tab. Filters offered vary depending on the Communication tab selected.
On the Email tab, users will note that all emails sent to and from the user will be listed (including System Messages) and the column headings include the following.
- Email #: A link is provided to open that specific email for more information.
- From: Information about who the email was sent from. OwnerRez is listed for System Messages.
- To: Information about whom the email was sent to. The user is listed for System Messages.
- Subject: The email subject line is listed.
- Status: If the email was sent, it will be marked with a green Sent tag.
- Feedback: The feedback column could include tags for blue Opened, grey Delivered, red Bounced or no information.
- When: The date and time the email was sent is listed. Users can click on the dropdown arrow toggle between oldest and newest email messages.
SMS
On the SMS tab, users will note that all SMS or texts sent to and from the user will be listed and the column headings include the following.
- Message #: The message number is listed and is a link to the SMS.
- Message: The SMS is displayed.
- When: The date and time the SMS was sent is listed. Users can click on the dropdown arrow toggle between oldest and newest email messages.
- Status: If the SMS was sent, it will be marked with a green Sent tag.
Calls
On the Calls tab, users will note that all calls sent to and from the user will be listed and the column headings include the following.
- Date: The date and time the call was sent or received (incoming) are listed. Users can click on the dropdown arrow toggle between oldest and newest calls.
- Number: The telephone number called or received (incoming) are listed.
- Direction: Whether the call was Incoming or Outgoing are listed.
- Duration: The duration (length of time) of the phone call.
- Missed: If the phone call was a missed call by the user, a black check is displayed.
- Voicemail: If the caller left a voicemail, a black check is displayed.
Airbnb
On the Airbnb tab, users will note that all Airbnb messages sent to and from the user will be listed and the column headings include the following.
- Message #: The message number is listed and is a link to the Airbnb message.
- Message: The Airbnb message is displayed.
- When: The date and time the Airbnb message was sent is listed. Users can click on the dropdown arrow toggle between oldest and newest email messages.
Vrbo
On the Vrbo tab, users will note that all Vrbo messages sent to and from the user will be listed and the column headings include the following.
- Message #: The message number is listed and is a link to the Vrbo message.
- Message: The Vrbo message is displayed.
- When: The date and time the Vrbo message was sent is listed. Users can click on the dropdown arrow toggle between oldest and newest email messages.
