Main Bookings Display

Every time you log in to OwnerRez, by default, the first screen you see is your Bookings display. Once OwnerRez is fully set up, this is where you'll spend most of your time.

Tips and Tricks

  • If you click on the date box in the Ribbon/Month/Year view, you can type a date in the box or use the calendar. Other things you can do in the date box:
    • If you click the year on the calendar, it will zoom out (in case you want to go a couple of years over quickly)
    • If you click the Now button, it will bring you to the current month
  • On all views, if you want to leave the calendar where it is and go look at a booking, the best way is to open a new tab or window in your browser. 
    • To do this, right-click on the booking and choose "Open link in new tab." Depending on your OS, you can also Ctrl+Shift+Click, Shift+Middle mouse button click, or Command+Shift+Click to open a new tab very quickly. That will let you work with the booking in its own tab. Later, you can close the booking tab, and the calendar tab will be right where you left it. 
    • At that point, you can either proceed to the next booking or refresh the tab to update it with new data while remaining in the same spot.

it's important to note that YMMV (Your Mileage May Vary) based on factors such as your device, operating system, internet speed, browser, and other variables.

Ribbon View

The Ribbon view offers a versatile way to seamlessly view both past and upcoming bookings. Users can get to the Ribbon calendar view by selecting Ribbon on the Bookings page. The current date will always be highlighted in a light yellow color.

Individual Property Information is available by hovering over the left menu property list to display the following:

  • Property name
  • Property thumbnail image
  • Guest maximum
  • Number of beds and baths
  • Maximum and minimum nightly rates
  • Informational property tags

Individual Booking Information is available by hovering over each booking which displays the following information.

  • Dates of stay
  • Name of guest
  • Number of adults, children and pets
  • Guest email address
  • Guest phone number
  • Total amount of booking
  • Amount that guest has already paid and still owes
  • Channel icon for the booking, in this case Vrbo.

Some booking bars will show a small vertical red bar at their beginning or end. This indicates that a guest has been granted early check-in or late checkout. When you mouse-over the booking bar, the unusual check-in/check-out times will be noted in a yellow box. Note the blocked dates as well.

And users can move the Ribbon Calendar Handle, aka the Handle, back and forth to view both past and future bookings.

Filter Options

By default, the Ribbon display includes all your bookings. Using the Filter button choices, you can filter them by a wide variety of options.

Users can filter properties in the upper left filter search box as we did by searching for Pine or clicking on the Bookings filter button. Note that the Filter Icon Filter Icon is a bold green and the Ribbon Calendar is surrounded by a green border when filter results are displayed.

When users click the Bookings Filter button, they can filter the ribbon by Listing Site, Booked dates, Payment and Security Deposit Status, and more!

You can also click on the Filter Icon Filter Icon that is located inside the Filter Search box.

The Filter Properties modal displays property filters (including any property tags) only. Add in your search and filter terms and select Apply Filter.

Search results will be displayed with the regular property color, while results filtered out will be grayed out. After users click Search, the results will display the regular property color, while results filtered out will be grayed out. Need to filter by availability? You can on the ribbon view; just click on the filter icon located within the Filter properties search box.

And the Filter Properties pop-up appears allowing users to search for booking availability (and more) across all or select properties.

When users add any filter in the Bookings List View, Inquiries, or Quotes sections and then move elsewhere in the app, those "sticky" filters are still applied when they return to those sections. This sticky filter has been added to many other grid filter areas, but these mentioned are likely the most frequently used. Watch it in action!

Using the sticky filter would be a great way to view all bookings that still need signed renter agreements. The best part is that each logged-in user can apply these unique sticky filters to their account until they log out, change their filters, or close their browser window, which resets the filters. This stickier filter feature includes team members' portal accounts, allowing larger organizations to assign specific team members to monitor various booking processes. 

Clear the filter by clicking on the Clear (Show All) on the lower left of the Filter Properties filter popup or Show All on the Ribbon Calendar.

You can also simply click on the X next to the selected filter, click on Show All, or choose Clear (Show All) from the Reset dropdown menu.

Display Preferences

Want to make changes to the Calendar display or Revert to the Legacy Ribbon View? Users can easily do so.

  • In the upper right profile drop-down menu, select Preferences.

  • Users can accomplish the following in the Display Preferences section.
    • Bookings
      • Choose the Default Booking View of Ribbon, Month, List, Year or Current from the drop down list.

      • Select whether the View is Sticky by checking the checkbox "The default booking view will change to whichever view (ribbon, calendar or list) was selected most recently."
    • List View
      • Sort by either the Property First, then by... or just By Arrival date or Date booked.
      • Choose to either Hide or Show the Cleaning Date.
    • Ribbon View
      • Check the Legacy Ribbon check box to revert to the legacy ribbon view instead of using the new moving ribbon view. Note that the Legacy Ribbon view is deprecated, meaning it is no longer in active development and may be removed in a future update.
      • Check the Show property color on bookings ribbon background check box.
      • Select either Grey or Property Color for the Block-Off Color.
      • Select either Candy Striped or Solid for the Block-Off Background.
    • Property Management
      • Select grouping by Owner or No Grouping for the Property Filters/Lists.
    • Property Names
      • Select either the Public Name {PDISPNAME} or other Name in Templates.
      • Select either the Public Name {PDISPNAME} or other Name in On Guest Forms.

Display Preferences

  • Click on Save.

The Month-Calendar View

For some owners, particularly with only a few properties, the Ribbon View isn't most efficient.  Instead, they prefer the Month View, which you can switch to using the button in the upper right.

This also shows a whole month, but is formatted like a normal calendar, so there's only room for up to 5 properties on it.  Otherwise, it shows booking bars much like the Ribbon View.

If you have more properties than will fit, you can select which ones are displayed using the dropdown selector in the center top of the screen.

The Year-Calendar View

You can even view an entire year at once, using the Year-Calendar View.  There's only enough room for one property at a time, and no room for any details for any of the bookings, although you can see details of a booking by mousing-over a booking bar.

If you have multiple properties, you can select which one is displayed using the dropdown selector in the center top of the screen.

The List View

Sometimes it's helpful to view your bookings as a list, like you would in a spreadsheet.  That's what the List view does.

The List view is most useful when using filters, which work the same way as discussed in the Ribbon view.  You can use this to display all your current bookings that don't have security deposits, or which are not yet paid in full, or which are from one particular channel.

You can sort the list display by clicking on the header of a column.

Save your default view on Bookings List view, and those defaults will stick across your OwnerRez sessions.

Want to "hide" all canceled bookings? You can do that. At the bottom of the Filter, simply check the "Save as my default" checkbox and click Save & Apply.

Want to display only bookings that need a renter agreement signed as your default Booking List? You can do that, too. Selecting your preferred agreement from the Not Signed Agreements dropdown menu will display only bookings that have not yet signed your agreement.

Of course, users can always change or clear their "default" filters by clicking on the Show All link for that session.

These configured default filter settings will be consistent across sessions and devices. These settings work across devices but are cookie-based, so changes made on one device may not update on the other device immediately. As always, your in-app OwnerRez experience may be different depending on your specific device, operating system, and browser.

The Current View

This is a display of all bookings that are occurring yesterday, today, or tomorrow, for each of your properties.

The legacy ribbon view looks like this:

Notice:

  • Your properties are listed down the left side.  If you have more than fit on one screen, you can scroll down and see the rest of them.
  • The days in the month are the numbers across the top.  There's also a calendar control in the middle that you can use to go forward and backward in time.
  • Each property has its own color, used for its bookings in its row.  These are automatically assigned, but you can change them in the Properties area under each property's General Info.
  • Days shown in blue are ones you have designated as Holidays, when holiday rates and rules should apply.
  • The grey booking bars aren't real bookings - they're blocks.  You can block off time using the "Block Off" button at the top of the screen.  Blocks do block calendar dates like real bookings do, but they don't have charges or transactions, aren't associated with a guest, and don't automatically send most emails like regular bookings.  Blocks can be used for when a property is unavailable for rent due to repairs, out of season, the owner is using it, or for any other reason.
  • It's not visible in the screenshot above (we blanked it out for privacy), but on your own Bookings screen, each booking will display the guest's name (or, as much of it as fits in its bar.)  If the booking and thus the bar are long enough, it'll also show a guest count.
  • Some booking bars will show a small vertical red bar at their beginning or end.  This indicates that a guest has been granted early check-in or late checkout.  When you mouse-over the booking bar, the unusual check-in/check-out times will be noted in a blue box:

If you click on a booking bar, you'll be taken to a screen with multiple tabs loaded with details about that Booking - the guest name and contact information, their charges, payments, insurance, rental agreement, notes, basically everything you can imagine.  Some of this information will pop up if you mouse-over a booking bar.

The Legacy Ribbon view continues to offer both Property and Booking Filter options.

Legacy View Options

By default, the Bookings display shows - well, bookings.  However, you can also view Quotes using the Legacy View options.

Remember that Quotes, unlike Bookings, do not block off the calendar.  They can overlap each other, bookings, or blocks.  Quotes that are obstructed by a Booking or a block cannot be actually booked - they are no longer Open.

If you select Open Quotes, the display will include Quotes that are still booking.  They will not overlap bookings or blocks, which would prevent them from being bookable.  They can still overlap each other though.

How can I change back to the Legacy Ribbon View?

Not a fan of the new Ribbon View? Users can always revert to the Legacy Ribbon view by following these instructions.

  • In the upper right profile drop-down menu, select Preferences.

  • Check the Legacy Ribbon check box to revert to the legacy ribbon view instead of using the new moving ribbon view. Note that the Legacy Ribbon view is deprecated, meaning it is no longer in active development and will be removed at some point in a future update.
