Use and Assign

Tags, tags and more tags!  With the ability to add tags to properties, bookings, quotes, inquiries, guests and owners. The potential is limitless. Let's delve a little deeper about all the types of tags there are and what you can accomplish with them.

Before you start using and assigning Tags, we recommend you first read the Tags Overview and Add and Edit support articles.  

Inquiry Tags

In the OwnerRez Inquiries area, there are a number of default tags.

  • In the Attention column, you will see these default tags.

 for inquiries that have not yet been answered.

 for inquiries that have already been answered.

 

  • In the Status column, there are the following default tags.

 for quoted inquiries.

 for inquiries that are quotable but not yet quoted.

 for inquiries that have missing information that needs to be recorded before a quote can be sent.

 for inquiries for dates that are not available at the property selected.

 for inquiries that have been booked.

In the image above, we see that we have an inquiry that is unanswered but still quotable.

Just because there are a number of Default Tags, doesn't mean that you can't add your own tags too. Tags like  or  may be helpful for inquiries and quotes.

In the example below, you can see that we've added a number of tags for this inquiry, including tags for Joan Smith's  that includes a , an  at our  Fancy Beach Rental property.

Users can continue to add delete or change tags to this specific inquiry by clicking on the green change link to the left of Tags. For more information see the Bookings & Quotes - Inquiries, Quotes, and Bookings Overview support article.

Quote Tags

In the OwnerRez Quotes area, there are a number of default tags in the Status column.

 for quotes that have expired and not booked.

 for quotes that are still available to be booked by the guest at that quoted rate.

 for quotes that were booked by another party and no longer available.

 for quotes that were accepted and booked.

In the image above, we see that we have an Open quote.

During or after the initial quote OwnerRez Users can continue to add additional tags to quotes that will, if booked, stay with the booking. As shown below, the guest, Bob Smith, who is a  from a past guest, has requested the  Sunridge Retreat property that includes a  for his children.

Users can continue to add delete or change tags to this specific quote by clicking on the green change link to the left of Tags. For more information on quotes, watch the Quotes support video and the Bookings & Quotes - Inquiries, Quotes, and Bookings Overview support article.

Set Multiple Tags

Rather than editing individually, OwnerRez Users have the ability to set tags for multiple properties, bookings, quotes, inquiries, guests and owners in one quick process.

For this example, we will demonstrate the process in the booking area but the procedure remains the same in the properties, quotes, inquiries, guests and owners areas. Setting multiple tags in the bookings area is only available in the List view.

In the Bookings list view, users can select individual bookings (or properties, quotes, inquiries, guests and owners) by clicking in the individual checkboxes on the first left column as shown below. Note that we have selected and will edit seven of the bookings that have no tags because we want to add the same tags for all bookings selected.

Click on Set Tags.

Users can also Select All by clicking on the green  icon on the top left column as shown below.

But we are going to set tags for just these seven bookings to add and  as shown below. Users also have the option to Select All or Clear tags in this dialog window. Click on Save.

Users can Select All by clicking on the green  icon on the top left column as shown below.

Conversely, users can Unselect All by clicking on the green  icon on the top left column. As shown above with the red arrows, users can also:

  • Cancel/Delete Tags
  • Set Tags
  • Remove Tags

And finally, users can exit the edit tags mode by clicking on the green Exit Edit Mode.

Tag Examples

Tags have so many possibilities that we thought it would be useful to provide some examples below for specific OwnerRez bookings, guests, properties and owners. These suggestions are by no means every idea for tags. OwnerRez tags are only limited by your imagination!

Bookings Tags

In the individual booking Overview, the General Info displays Tags associated with that specific Booking. This is where you should add Tags like  or . Things you need to know for this reservation, but which will not be needed for any future bookings with this guest. Add tags to this specific booking by clicking on the green change link to the left of Tags as shown below.

In the pop-up window, click on the drop-down list, where it is possible to

  • Select All tags.
  • Select specific tags as shown below.
  • Clear tags previously selected.

In the image below, our guest Bruce has requested a Boat Rental, Mid-stay housekeeping, Horseback riding experience and that he needs a Pet friendly rental as part of his reservation so we have added the following tags. 

Don't forget to click on Save. See that the General Info now includes the selected tags for Bruce's reservation. Make note that the green change link is there, so you can still add, delete, or change tags as necessary.

Guests Tags

If you assign a Tag to a Guest Record within an Individual Booking record it will stay with the Guest's information. For example, you may want to give them a  Tag so if they want to make a future reservation you'll know right away that you want them back again.

You might also assign tags to remind you they have a dog or that they were a  by someone you know. Assign your tags in the Guest section of a booking record.

OwnerRez Users can also add tags to a guest's record by clicking on the Change link in the Guest Conversation area.

Properties Tags

For those with more than one property, you may want to create Tags for each specific property to identify their location or unique amenities. If you have beach and mountain rentals, you could make tags for each. And then there are all the options for amenities like  or  or . 

To assign Tags to a property, go to Properties and choose the specific property you want to add tags to. By default, you will be in the General Info section category. Under the General Info section, click on the green change link to the right of Tags

Remember that the green change link is there so you can still add, delete or change tags as necessary.

Owner Tags

Property managers can also add Owner tags.  or  could be very helpful for PM staff. You could also make a tag for an owner's .

To assign tags to Owners, navigate to PM > PM Settings > Owners. In the example below, you will see that we have added a number of tags to our owners.

Note that you can add or edit tags by clicking on the Pen icon, the green owner link or edit multiple tags by clicking on the green  icon at the top left of the owner list.
