But you can - an Expense can just be associated with a particular owner, not a booking or property.

I frequently modify the headline value to do things such as:

#1 Winter Discounts Available
#2 Book now for summer
#3 Flash Sale - Book by Feb 15 for a $25 per night discount

I recently started doing these flash sales to give a boost to properties that needs a nudge and it has actually resulted in bookings each time.

It is just cumbersome to go in and change them when you have numerous properties.

I used discount codes for different length of stays to offer discounts for 10, 20, 28 or night stays etc. and prevent multiple discounts applying to a single quote by using the number of nights criteria.

However, with 26 rentals I have started doing flash sales for specific properties that may need a boost in the booking department.

The problem is I have to modify existing length of stay discounts to remove the property that is subject of the flash sale otherwise there will be multiple discounts.

My thought was to create a SUPER DISCOUNT FLAG, when a discount has this flag set no other discounts can apply.

Would like field codes for settled payment data (re: system processed credit card payments).

I’d like to be able to pull the following data via payment field codes into a receipt I can trigger to send after payment fully settles.

R (“Processor Transaction” in OR sys data)
auth (“Processor Auth Code” in OR sys data)

IFF... it’s not going to induce security headache or otherwise be a gigantic pain on that end.

Does anyone know if it is possible to add a "how did you find out about us?" field with a drop-down for option selection ("Instagram", "Friend", "Google Search", etc) to the OR contact form widgets? Would be super helpful for marketing purposes if so...

You can do this. Simply type the phone number in the search bar in your dashboard and it will show you any guests/bookings associated with that number.

In Owner Statement Views… booking columns — would love owners to be able to see the listing channel that each booking came in on. It instantly helps clarify for homeowners the difference in pricing, channel fees, tax structure, etc. as platforms handle things differently than direct bookings. Is there any scope to add the listing site / channel as a column option so this can be displayed? That field shows up elsewhere in reports, so I'm hoping it can be added here as well.

You already can do this, if you're using an API connection. In the API settings, you can set the Arrival Restrictions to have a maximum days in the future where bookings are allowed.

Increasingly the trend seems to be to black out dates on the Otas for far out dates. >60.
It would be nice if there was an automatic rolling start date black out for specific channels more than 60 days out.
That way we can get the otas working in our favour closer to departure.
This preserving more lucrative dates for direct booking clients.

The traditional way in QB (or so I understand) was to set up each Property with Tenants as a "Customer" and "Job." That allows you to roll all your tenants up under each property for analysis and reporting.

In QBO, they don't use the "Job" terminology any more; they use the term "Sub-Customer."

I'd really appreciate if you all could automate the guests to be entered into QB as a Sub-Customer of a Customer.

Hi Dori,

Currently, no - there's no way of doing that. However, that's an interesting idea where the property is the customer and each guest is a sub-customer of that.

I changed your topic here in the forum to a feature request so that you can up-vote if you'd like.

When OR creates a guest record and passes it to Quickbooks, is there any way to automate that the guest is a sub-customer of a property, rather than a full customer?

Most of the fields are shared. We have a todo list item to allow you to create different field versions for different channels vs the hosted website, but no ETA on that yet.

The Location Description and Other Activities fields currently go to Vrbo but not the hosted website -- you could put the information in there.

I want a place to put it in OR, that doesnt show up on my website, and only shows up on VRBO...according to the table I dont see that...? It appears everything in OR shows up on the website, unless I'm mistaken?

Somehow I do not have the issue. here are my custom fields that are used across the board.

Initials: "No pets" policy: (BXCXLPOL) <required, must initial>
Initials: 60 Day Cancellation policy. (BXTRVINS) < decription outlines the cancellation policy, they must initial>
Initials: Cabin is on well/septic system. (BXSEPTIC) < decription outlines well/septic, they must initial>

So several fields (like about well/septic or how they found us) are not required to be inserted into the RA template, and they are not. Only fileds that I need are inserted.

Are you having them print the RA off and initial/scan back - if not, how are you getting initials no the RA?

I'd like the ability to sync my email templates with the Airbnb templates. I have several templates and sometimes it's hard to keep track of which template I changed on the email side and I might forget to change it on the Airbnb side.

I'd like to add a widget onto my mobile home screen that shows me when each guest is arriving. Something similar to Airbnb's home screen widget. It can either be in a list format or a calendar format.

We have been using electronic door locks for many years on our rental properties. We have utilized a number of different providers both automated and manual. Our most recent experience is the utilization of an OR partner where door lock integration creates a random 4 digit code that is utilized as the guest access code for the property. We had gone down this road a number of years ago but since it was our only option we decided to give it a try again. Our results this time were similar to our previous attempt. Basically we find that while yes you are automated and you communicate information to the guests they do not seem to keep that information readily accessible or the devices that are used for the communication are no longer available (locked in the property, no cell signal, etc) and they are unable to retrieve the information needed to access the property and they don't "remember" what the code should be. The end result is they need to reach out to us, usually via phone, to figure out how to gain / regain access to the property.

To solve this problem the first time we decided we were going to change the codes for the doors to utilize the last 4 digits of the phone number that they provided during the booking process. Our communication to the guest would then specifically call out the actual code number but we also let them know that it is coded to the last 4 digits of their phone number. This dramatically reduced the number of calls we got because people remember their phone number and they remember us telling them that the lock is coded with their phone number.

The ask here is have OwnerRez give us the option to utilize last 4 digits of phone number starting with the mobile number if available, and then any other phone number if mobile is not available and finally, if no phone is available continue to use the random number. We would like to see this on their "Manual" Lock integration and any door lock integration where they control the generation of the lock code (Brivo for example). For integrations that don't support last 4 digits (RemoteLock) the option to use last 4 would not apply.

There are a number of partners that are integrated with OR to manage electronic door locks. These door locks and partners all seem to have varying levels of capabilities associated with them that could be beneficial in helping understand the status of guests...

For example... I just found that Brivo (the company we are choosing to manage our door locks) has the ability to notify us the first time the door code is used on the door lock. IE - The guest has checked in. This is a great piece of information to have about the booking and allows us to not only send them triggered emails when they arrive about the property but it also gives us a sense of who is and isn't in house when we need to deal with issues like parking, etc... Brivo also have the ability to notify us if a specific code is used on a door lock. What our vision of this would be is to ask the guest to enter a code - 0000 for example when they have left the property. In effect they use the door lock to let us know that they have checked out. This will help the cleaning team get a jump start on the day activities if the guest has left early... The cleaning and or inspection team could also use the door lock to notify us when a unit is ready for guests.

Our thought here is that the property needs to have a Status Field and the Booking needs to have a Status Field and these fields would/could be managed manually in OR or they could be automated with any number of tools that are out there from the various partners or vendors or via OR workflows as well.

The Property Status might include values of - Occupied, Guest Ready, Needs Cleaning, Clean (Ready for Inspection), etc...
The Booking Status might include values of - Checked In, Checked Out, Pending Arrival

Workflows in OR could potentially handle changes in status... For example when a guest is checked in the property status would changes to occupied. When they checked out it would change to Needs Cleaning
Property Status could be updated by the housekeepers from Needs Cleaning to Clean, Inspectors could then change Clean to Guest Ready, etc... Brivo also has webhooks in their system that could be utilized to send to OR these status updates directly from the door locks themselves.

In the ribbon view of the properties/calendars icons could be placed on the bookings,calendar to show both the property status and the booking status so you could quickly know what was going on.

Food for thought on automating things and knowing status of properties at any given moment in time

There are a number of "partners" that OR has that use ZWAVE locks. RemoteLock doesn't do them directly they integrate with VERA and then VERA Manages the locks. (you have a double integration here... you have to have VERA setup and operational and then Integrate your VERA environment to RemoteLock... Once that is done then you integrate RemoteLock to OwnerRez... what ultimately happens is that OR will send booking information into RemoteLock and then Remote Lock will send the information to the Vera Gateway that controls the lock.

Brivo is another option for ZWAVE. We are currently testing their solution. They have a ZWAVE gateway that you install and you use to do Smarthome control. (Locks, switches, thermostats, etc - just like Vera) These controllers are a little bit different than the VERA ones as they have a cellular backup capability when not connected to Wifi or Ethernet. (I think you can get this on VERA but I don't think out of the box) Brivo does have a monthly charge where VERA does not but if you manage VERA through RemoteLock you will have a monthly charge so that is nearly a wash.

I also believe Point Central and ERental Lock (also partners) have ZWAVE solutions.

One thing to make sure you ask the partners is if they support your specific ZWAVE devices. For example we mostly have Yale Door Locks but not all models are supported by all solutions and our Schlage Locks were not supported at all by one partner but another that is all they use.

It can get pretty complicated pretty fast and I recommend you always test test test prior to doing a complete rollout across multiple properties

Then just decide which properties this info will apply to an whether you want the field to be active (which you do!)

SAVE THIS CUSTOM FIELD!!!

Then I set up another field where the enter this person's phone number. All the same process as above.

THEN: Go to Settings - Branding & Legal - Legal Agreements.

Open the legal agreement you will be using.

Scroll to where you want the guest info to show up in your agreement. This might be a place in a critical section where you've asked them to initial that they understand certain terms. Or, in my example, I have a bunch of info, entered by the guest, that I include at the end of my rental agreement which ends up looking like this:

Reservation Number:  {BIDRAW}
Guest's Primary Email:  {CEMAIL}
Guest's Primary Phone:  {CPHONE}
Guest's Home Address:  {CADDRPRIMES}
Number of Adults in Party:  {BNADULT}   Number of Children in Party:  {BNCHILD}
Make and Model of Primary Vehicle to Be Used at Property:  {BXCAR}
Name and Phone Number of Emergency Contact:  {BXEMERGNAME}   {BXEMERGPHONE}

You insert the guest's response by picking "Insert Field" from the options at the top of the "Body" of your agreement.

Hope that helps. You'll get there! And when it's done you'll love it. Just test the #%&$ out of it. Hahahaaa!


Lydia - can you walk through this just a little more - I'm quite spun around where you put this coding in (as well as where the additional guest code is beyond emergency) in the process - is it the booking request? When I sent a quote back it includes the RA already so not sure how it would be populated with the info needed
