Yes, you can enter negative items directly into quotes. You can do negative flat amounts (-50.00) or negative percentages (-10%). They both work.
Coupon codes are on the dev roadmap already, but we haven't been able to get to them yet.

When guests get an instant quote on the inquiry form (love it!), they get shown an aggregate number that is all inclusive. Is there any way they could be shown a breakdown of this number based on what they will owe (rent, tax, cleaning, fees, etc.)?
It would be great to be able to search topics on the forum so we don't ask you the same questions over and over.
Hi, I was wondering if there is any way to be able to enter a negative line item to the quote for things like discounts or coupons. There may already be a way to do this but I couldn't see it. I had extended a $50 coupon to one of my guests and would like to log it in like this.

It would be handy to be able to extend a coupon code to guests too so they could enter it when making a payment.

There is currently only one login per account.
However, you can create a custom iCal feed for each property, and control what's exposed through that feed. You can include guest info and booking notes etc. there.
If the housekeeper adds those iCal's to her Google calendar or other calendar app, she'll be able to see all of those details, read-only, without access to any other things in the system.
Is there any way for you to make a login to OR for my housekeeper that allows only selected parts of OR? I would like for her to see the booking calendar and notes sometimes but really don't want her to see my revenue, reports and so on.
As soon as you enter a booking (even for historical data) the person will start showing up as "Repeat Guest". Give it a try and you'll see what I mean. That's assuming their email address is the same between bookings of course. So even for old/historical entry, it will still work.
Thanks for the speedy reply Michelle! Yes, it would be helpful to be able to write in the address during the time we enter email, phone, etc. if at all possible, but good to know there is a way to do it.
Also regarding repeat customers, I guess it's because I'm manually entering all of my upcoming bookings now and so I have no "history" within the system. I assume this will change in the future when I enter their info again. Many of my guests are repeat.
I just responded to your ideas in the other thread. A NOTE: I was referring to the Booking > Info area which is AFTER you create the booking. You're right, though, that it would be nice to also be able to add the address on the same page when you're creating the booking.

You can add addresses for the guest already. Open the booking (or quote) and click the Info tab. Click the Change button and add/edit addresses in the place provided.
If the booking and quote are linked (meaning they booking was created from the quote originally), then any guest email/phone/address will update in both places at the same time.
We do show "Repeat Guest" on the booking if the guest has occurred in the past. To see what I mean, create another booking with the same email address and you'll see (on the booking overview page) a little "Repeat Guest" badge with the links to other bookings. The same will show on guests and inquiries if the guest has booked in the past.
If you want to add custom sources (or listing sites) you can do that as well. Open Settings > Listing Sites. On the right side, you can add custom listing sites. This isn't really a "source" exactly, but you could use the field for now to put other pieces of information.

Thanks. I just sent in a couple of suggestions, one to put an address field in the bookings area to keep track of guests' physical addresses. The other is for a couple of additions to the "Source of booking" pull down menu to add "Other" and "Repeat Guest."

1. Add a guest address field to the bookings area. I like to keep track of their physical addresses in case I want to send them something later.
2. Under "source" of booking, it would be cool to have "Repeat Guest" and "Other" as two of the selections in the pull-down menu. Maybe the Other could allow the person to fill in a source. There are new sources happening all the time with all the hoopla out there re: VRBO and HA.

Thanks for the request. I understand what you're asking for.
The wording for warnings and rates can be difficult to get right for everyone since different users want different things. We have kicked around the idea of doing field-code-based descriptions so that users can define their own terminology.
On the widget quote, you're right that clarity would be good there. We're planning on adding a "details" link next to the number so that the guest can immediately see what line items are part of the rate and what is included. I believe that the rate number you're seeing does include all line items (it's a full quote). I'll check on that to be sure.

I noticed that when I'm entering a booking I can't write notes, but I have to wait until I submit the booking, then click on a separate Notes tab. It would be handy to be able to write notes at the same time as entering the booking information.
I am testing my inquiry/quote form on my website using information that is not meeting the rules just to see what happens. There are a couple of things that concern me and I am wondering if we can somehow make a change.
1. If I try to test-book for too few nights, I get a message like this: "<season> allows a range of 7 to 365 nights."
In addition, the guest is showed a price estimate for that too-short period.
I would so much prefer it if the wording was "<season> requires a minimum of one week (7 days, 6 nights)." (of course this minimum would vary depending on the season they specify, but we'd outline this in the rules and price table.) And I would really like it if the price estimate did not show up unless they specified the minimum days required.
I think the wording "allows a range" is confusing to the customer, especially if the 365 nights is in there. I think letting them know the minimum required is critical. I don't need to tell them a maximum, and in fact a maximum is misleading. I can't specify a maximum during season because that number changes depending on what day during that season it is.
2. I was happy to see a price quote come up when I wrote in the dates! The problem is, it says "from," and I don't know if that amount includes tax, cleaning fee, etc., or if it is just the base rate. I don't think I want the guest to know that amount unless I tell them this is basic rent and doesn't include taxes and cleaning fee, or if it is a rate that does include these things. It would also be cool for me during this crazy time with VRBO, etc., to say it doesn't include any booking or service fee.

Randy, we're going to push forward on this to get something out to you. Others have asked about this as well in the past. The plan is to add a Quote trigger that hinges on the Status criteria field. So you can choose to send/not send based on what the quote's status is (open, preempted, expired, booked). It will be a small iteration, but should get you what you need here. Thx, ~Sam
Yes! We need this really bad. If we could send our recent quotes out a day after 3 days after 5 days after and so forth it was first quoted, this would increase our bookings a lot. I used to have a high-school kid hired that would just go through the quote list and resend stuff that had been quoted in the last 3 or 4 days and he would look to make sure there was still availability on that unit, and if not he would do a new quote on a unit that was available. Then start sending that quote out as group email on a regular basis. I don't have time to do it anymore but it was a huge boost to my bookings. To go full circle with it, I'm thinking it would be triggered triggered buy a quote comma then you would need to check to see if the property is still available somehow or simply put a list with links to properties that are available for those dates. I would be happy to show you how this is done in another property management program. But if you could at least get a trigger out 4 quotes ASAP, that would be very helpful. Then work on the other bells and whistles as you have time.

I would like to be able to add a channel that is not in your listing when creating a booking. For example, a pull down screen shows a list of channels that are not relevant to me.
When you manually enter a payment, the system should give you the chance to edit the email to the guest. It defaults to what you configure as the "Send Receipt To Guest" template, but an editor will open so you can tweak it. Most system events are like this, with a customizable template and then availability of the editor to add in personalized things if you need it.
If you need to send a custom email that's not related to a system event or triggered automatically, the best way to do it right now is to click on the email address on the Booking Info tab and send through your own email program.
We are working on a fully customized system that will manage all emails inside OwnerRez vs. requiring you to use both your email (for custom things) and OwnerRez (for automatic system things). I'll keep you posted as we get closer to rolling that out.

Please consider an email that could be sent from owner to potential renter with free flow of verbiage. For example, I recieved a check today, and want to send that I got the payment and add a personal note with it. This personal note will always be different for each renter.

Until you get a different in box set up perhaps you could put the email address on the "inquiries" and "quotes" screens so we could see that they are coming from a noreply@homeaway.... AND put a check box by each email and delete button so we could bulk delete inquires from noreply emails from HA and FK. Just having to spend a ton of time going thru all those that are coming in from HA right now and they are usually just informational emails about payment requests, payments, quotes that I sent from HA Dashboard, etc. I'm trying to keep it all cleaned up as I go so I can measure inquiries, quotes and bookings accurately for reports. We don't currently have a way of including attachments on email templates. In fact, that's been by design. Our email system is built around large-volume sending where we optimize deliverability (trying to avoid spam filters) so that all the transactional email sent out to guests gets read as much as possible.
That being said, we recommend that you reproduce the attachment as the body of the email. Is that possible in your case?
In other words, can you use our rich-text editor to make an email template with the pictures and words and fonts that look similar to your PDF? If so, then the attachment would not be necessary.

I send out a trigger "welcome" e-mail right before a guest's arrival where I attach PDF files with various helpful information that the guest can print out. I would love to be able to do that with this system. Otherwise, I can't have it as a trigger e-mail and have to do it manually. Is that possible?
I am trying to keep up with the number of inquiries and quotes on my system. Any way to set up a rule to not let OR try to quote these messages from HA? I already asked for email parsing to not send those types of emails into the inquiry system but that's not available yet.
Thanks Michelle. It's just easier for me and the traveler to see everything on one calendar. I can use the rate tester to quickly do quotes on my cell phone, but I still don't have 1 page to go to that I can see all unit's availability AND do a quote without having to navigate all over. Just a suggestion since personal devices are being used more now than computers to buy stuff online. It makes it a lot easier for the traveler as well to have just one page to see and use. Just add it to my wish list!! Thanks! :-)
